A complete audit trail for your records

Archive Corporation provides you with a complete audit trail for your offsite records by combining professional inventory management with reliable retrieval and delivery services.  We understand that supporting your records management program begins with the pickup and transfer of files to our records center and continues throughout the entire retention lifecycle for your records.  As a result we’ve implemented a complete tracking process to make sure you securely receive the records you need in the least amount of time.

Barcode tracking

It begins with our barcode tracking system.  Each records carton is assigned a unique barcode label which enables comprehensive tracking within our inventory management database. This allows for every item to be scanned to a unique shelf location for secure storage and preservation.  When a carton is requested, the item’s location is queried within our inventory management database and then scanned from the current shelf location.

Convenient online requests

Our secure client web portal enables you to conveniently request your records online and view each item’s retrieval and delivery status in real time.  Requested items are placed on a secure, alarmed vehicle and delivered directly to you by one of our professional couriers.  In addition to our standard next day service, we offer several delivery options for our clients including:

  • Expedited same day
  • Priority/stat 3-hour delivery
  • Emergency after hours and holiday
Of course, your records can be retrieved and delivered 24/7, 365 days a year.  No matter how time sensitive your business needs, we place top priority on maintaining a strict chain of custody throughout request, retrieval and delivery process to ensure the confidentiality and privacy of your records.

Placing an order

If you are currently an Archive Corporation client and are not placing a request through the web,  please give us your client account number and department number when you call, fax, or email your order.  Please refer to the following steps when placing your request.We appreciate your business and co-operation in making the delivery/pickup process a smooth one!

Please dial 813 -874-1577 and speak to customer service representative who can help you place an order for delivery or pick-up of your data.
Please send your email to request@archivecorp.com including the same information as in faxing an order.

Please dial 813-875-8536 and provide us with the following information:

  • Your company name
  • Your account number (including department if applicable)
  • Your name and phone number
  • The bar code numbers of the boxes you want delivered
  • Any file folder information including the bar code number of the box it is to be retrieved from
  • The number of files and/or boxes you need picked up

Delivery times:

Archive Corporation’s standard service is next day delivery.  The cut off time for next day deliveries is 3:00 p.m. Box or file requests received at our office by 10:30am for the same day delivery is a Rush delivery service.

A Stat or Priority is a three-hour delivery service dependent on location and current traffic pattern.

An Emergency After Hours delivery is 4:00pm to 8:00am Monday – Friday, Saturday, Sunday, and includes the following holidays:

  • New Year’s
  • Memorial Day
  • July 4th
  • Labor Day
  • Thanksgiving
  • Christmas
Please keep in mind that extremely large orders of a hundred or more boxes or files may require additional time to pull and deliver or pickup, in which case the delivery time may be extended and proper notification will be given to you, the client.

The reason these times must exist is for us to adequately schedule both personnel in our warehouses and delivery vehicles.

If a box will not be returning to our facility, please notify us when placing the order.  Otherwise, please let us know in writing as soon as possible as you are charged for the storage space even if the container is not physically here.  This is so necessary space can be reserved for your containers.
